What to Ask When Evaluating CPQ
Use these questions to test whether a CPQ solution can carry your quote through manufacturing, installation and service. Ask for a demonstration using your own product and approval rules.
- Buildable configuration: does each product configuration map to the correct bill of materials, routing and service requirements?
- Current cost and margin: can the quote reflect material, labour, delivery and service costs rather than relying only on a static price list?
- Pricing and approvals: can customer-specific pricing, volume breaks and discount exceptions be controlled with margin-based approval rules?
- Delivery commitments: are stock, purchasing lead times, production capacity and engineer availability checked before a date is promised?
- Quote-to-order conversion: what carries into sales orders, work orders, purchasing and service scheduling without rekeying?
- Change orders: what happens to costs, materials, delivery dates and engineer bookings when a customer changes an accepted quote?
A Practical CPQ Demo Checklist
Test a product that includes installation or field service, with at least one component in short supply. Include both the normal workflow and an exception.
- Configure the product and show the BOM, available stock and any shortage.
- Increase a component cost and show how the quote margin changes.
- Apply a discount that breaches your margin rule and demonstrate the approval route.
- Request an installation date when the preferred engineer is unavailable; show how alternatives are assessed.
- Accept the quote and follow the resulting sales order, production work, purchasing requirements and service booking.
- Change the quantity or installation date after acceptance and inspect the downstream impact.
Record any exports, rekeying, manual checks or additional development required. These are part of the implementation scope and ongoing operating cost.
Planning a CPQ Migration
If you are replacing Salesforce CPQ or another quoting system, plan the handover around business processes as well as data. Agree what must continue during the transition and validate the new workflow before rollout.
- Products and pricing: clean product records, bundles, price rules and discount schedules; map configurations to BOMs and service requirements.
- Open business: decide how open quotes, accepted orders, contracts and renewals will be handled.
- Approval rules: review margin thresholds, discount permissions and exception handling.
- Quote documents: prepare templates, terms, version history and customer acceptance requirements.
- Execution handoffs: test order creation, inventory, production, purchasing, finance and service scheduling together.
Common Mistakes to Avoid
Avoid rebuilding every legacy pricing rule without reviewing it, leaving quote-to-order conversion until the end, approving discounts without seeing margin, or testing only the first quote. Change orders and installation rescheduling need acceptance tests too.
CPQ for Manufacturing and Field Service: FAQs
Why should manufacturing CPQ connect to ERP?
A manufacturing quote depends on the buildable configuration, current costs, material availability and production capacity. Connecting CPQ to ERP makes those constraints visible before sales commits to a price or delivery date.
What makes CPQ different for field service?
The quote also commits service resources. Engineer skills and availability, parts, travel and the installation window need to be considered alongside the product and its manufacturing lead time.
What should happen when a customer changes an accepted quote?
The change should be reviewed against price, margin, material demand, work already released, delivery dates and service bookings. Ask your vendor to show which records update automatically and which require review or approval.
Should approvals be based on discount or margin?
Review both. A modest discount can still leave an order below its target margin when material, delivery or service costs rise. Test approval rules against the full cost of fulfilling the quote.
What should we prepare for an Axolt CPQ demo?
Bring a representative product, its configuration or BOM, a pricing and approval example, and an order that includes installation or service. Include a shortage or date change so the demonstration covers operational exceptions.
Use these questions in your Axolt CPQ demo to assess the complete quote-to-execution workflow.
