MEDICAL DISTRIBUTION · BUYER'S GUIDE
What is the best supply chain software for medical distributors?
Last updated 31 October 2026 · Published by Axolt
THE SHORT ANSWER
The best supply chain software for a medical distributor can trace every lot and serial number from supplier to customer in minutes, control expiry dates, run a recall without spreadsheets, and track stock you do not hold, such as consignment at hospitals and loaner sets. General-purpose ERPs can meet these needs with the right configuration; test each requirement below in a demo using your own products, starting with a mock recall.

01 / EVALUATION CHECKLIST
Seven requirements that separate medical distribution
Lot and serial traceability
Why it matters: Regulators, manufacturers and hospitals ask “who received this batch?”
What good looks like: Every receipt, movement and shipment recorded against its lot or serial, searchable in both directions
Expiry control
Why it matters: Expired stock is unsellable and a patient-safety risk
What good looks like: Expiry captured at receipt, earliest-expiry-first picking, alerts before stock expires
Recall readiness
Why it matters: A slow recall is a regulatory and reputational risk
What good looks like: A recall is a report and a set of customer notifications, not days of searching
UDI and labelling
Why it matters: Device identifiers must be captured and printed
What good looks like: UDI data captured on receipt and shown on labels and records
Consignment and field stock
Why it matters: Stock at hospitals, with reps and in loaner sets is still yours
What good looks like: Visible as stock locations, counted and accounted for
Pharmaceutical tracing
Why it matters: US prescription drug distributors must meet DSCSA tracing rules
What good looks like: Electronic, interoperable, package-level transaction data
Audit trail
Why it matters: Auditors and manufacturers ask who changed what, and when
What good looks like: Every change to controlled records logged with user and time
02 / COMPLIANCE
Regulations medical distributors should know
• FDA Unique Device Identification (UDI). Medical device labels carry a unique device identifier; distributors increasingly need to capture it in their systems for traceability and recalls.
• EU MDR. In the European Union, the Medical Device Regulation sets UDI and traceability expectations across the supply chain, including for distributors.
• Drug Supply Chain Security Act (DSCSA). In the United States, prescription drug trading partners must exchange interoperable, electronic, package-level tracing information. Check the FDA’s current guidance and exemption timelines for your trading partners.
• Quality system expectations. Manufacturers you distribute for may require you to support their ISO 13485 and FDA Quality Management System Regulation obligations, which took effect on 2 February 2026.

03 / VENDOR DEMO
The recall test: run it before you shortlist
Give every vendor the same exercise using sample data that looks like yours:
• Name a lot number received last quarter.
• Ask for every customer, quantity and ship date that lot went to, including consignment locations.
• Ask for the stock still on hand, by location, and how to quarantine it.
• Ask how customers would be notified, and how responses are recorded.
• Ask for the audit trail of the lot from receipt to today.
Time each step. A system built for traceability answers in minutes from one screen. If the vendor exports to a spreadsheet, you have learned what a real recall will feel like.
04 / COMPARISON
How the main options compare
Broad cloud ERPs such as NetSuite, Microsoft Dynamics 365 Business Central and Acumatica cover core distribution and are often extended by partners for medical requirements. Specialist medical distribution systems cover more of the list out of the box but can sit apart from the CRM your sales reps use. Salesforce-native ERPs put traceability data on the same platform as customers and reps.
Broad cloud ERP with partner extensions
Strengths: Mature finance and distribution
Check carefully: Which medical features are standard, and who maintains the extensions
Specialist medical distribution software
Strengths: Medical requirements out of the box
Check carefully: Connection to CRM, finance depth and total cost
Salesforce-native ERP
Strengths: Sales, service and traceability on one platform
Check carefully: Each of the seven requirements, demonstrated on your data
In Axolt: lot and serial numbers are recorded on receipts, stock movements and shipments, so a distributor can trace any item back to its supplier and forward to every customer who received it, across multiple stock locations. Because it runs inside Salesforce, sales reps see the same stock and traceability data as the warehouse.
05 / OPERATIONS
Expiry control and consignment in practice
First expired, first out
Medical distributors usually pick by earliest expiry rather than earliest receipt, known as first expired, first out (FEFO). The system should capture expiry at receipt, direct pickers to the earliest-expiring lot, block shipping of expired or short-dated stock against customer minimum shelf-life rules, and alert buyers before stock becomes unsellable.
Consignment and loaner sets
Stock held at hospitals, with sales reps or in loaner instrument sets is still your inventory. Treat each place as a stock location, count it regularly, replenish it from usage, and invoice the customer when product is consumed. Loaner sets also need check-out and return tracking, with inspection and cleaning status before reuse.
Receipt
Lot or serial, expiry date, UDI where applicable, supplier
Transfer to consignment
Location, lot, quantity, customer agreement
Usage at customer
Consumed lot, patient-case reference where required, billing trigger
Replenishment
Quantities used, minimum levels, shipment against the consignment location
Return or recall
Lot, location, quantity recovered, disposition
06 / COMMON QUESTIONS
Frequently asked questions
What is the best supply chain software for medical distributors?
Software that traces every lot and serial from supplier to customer in minutes, controls expiry, runs recalls without spreadsheets, captures UDI data and tracks consignment stock. Test all of these with a mock recall on your own data.
Do medical distributors need a specialist system?
Not always. A general ERP can work if it handles lot and serial tracking, expiry, recalls and consignment natively. Test those four before anything else.
What should a recall test in a demo look like?
Give the vendor a lot number and ask for every customer, quantity and ship date that lot went to, the stock still on hand and how customers would be notified. Time how long it takes.
What is UDI?
Unique Device Identification is a system of identifiers on medical device labels that allows devices to be traced through distribution and use. Distributors capture it to support recalls and traceability.
How should consignment stock be managed?
As stock locations you own but do not hold, with regular counts, replenishment based on usage and billing when the customer consumes the stock.
